The Role

Lead the on-site PMC supervision, monitoring and quality assurance of all HVAC and Cleanroom packages for a pharmaceutical manufacturing facility. Safeguard the integrity of the air-handling, environmental control and containment systems so that the plant achieves EU-GMP, WHO-GMP and ISO 14644 compliance from design verification through to qualification hand-over.

Key Responsibilities

  • Advanced Document Control: Manage the project Document Management System (DMS); maintain rigorous registers for transmittals, revisions, and distribution matrices to ensure version control.
  • Technical Tracking: Log and monitor all Requests for Information (RFIs), submittals, technical queries, Non-Conformance Reports (NCRs), and design changes; generate weekly status dashboards for the PMO.
  • Meeting Facilitation: Orchestrate all project meetings (Kick-off, Progress, Design Review, HSE, Commissioning); record professional minutes and rigorously follow up on action items to closure.
  • Site Office Management: Direct daily site office operations, including procurement of stationery, IT/printer support coordination, courier services, fleet management, and PPE issuance.
  • International Logistics: Coordinate complex travel arrangements, accommodation, and visa processing for international consultants and Client representatives.
  • Financial Administration: Process expense claims, petty cash, and project timesheets in strict accordance with company SOPs and Client billing cycles.
  • Onboarding & Access: Facilitate the onboarding of new PMC personnel, coordinate HSE inductions, and manage site-pass administration for all team members. Data Integrity & Auditing: Champion ALCOA+ principles (Attributable, Legible, Contemporaneous, Original, Accurate, etc.) across all records; support internal audits and Client-led pre-inspection readiness reviews.
  • Project Close-out: Compile the final Project Hand-over Dossier (PHD) and as-built documentation packs in compliance with EU-GMP standards; coordinate final sign-offs from consultants and Clients.

Who We Are Looking For

  • Bachelor degree in Business Admin, English, Office Management, or related field.
  • Min 3 years of project admin/document control experience (pharma/industrial preferred).
  • Strong command of MS Office, MS365, and EDMS platforms (Aconex, Procore, etc.).
  • Proficient English (TOEIC ≥ 700 / IELTS ≥ 6.5) & fluent Vietnamese.
